Your quote expired: how to renew it and keep the client

An expired quote is not a lost client: it is a pending conversation. Here is how to renew it with updated prices and a USD example.

A new version with history, no retyping.

Expired does not mean lost

A quote can expire without an explicit rejection. The mistake is letting them die in silence or reactivating with “did you see my email?”. A professional renewal has three parts: acknowledge the expiry, update price and validity, and give a reason to decide now. The follow-up messages cover the before; here is the after.

Renewal example

Illustrative scenario: quote #M-2026-008 from Clearline Services (Austin) for “Office HVAC”, client Harbor Offices. Original of $7,250.00 USD with 15-day validity, expired 20 days ago. Equipment costs rose 5%: amounts in USD with an illustrative 8% tax already included:

Item Detail Amount
Original total Expired version, no longer valid $7,250.00
Adjustment Equipment cost update (+5%) +$362.50
Renewed total New version M-2026-008-R2, valid 7 days $7,612.50 USD

Reactivation message: “Hi, I updated the HVAC quote with prices valid for 7 days. To keep these terms, you can sign it here directly.”

Common mistakes

Reactivating with no new validity

Resending the same expired document invites another endless wait. Every renewal carries a new date, shorter than the original.

Hiding the price adjustment

If costs rose, show it on one line. Explain the adjustment on one line so the client can verify why the total changed.

Over-apologizing

One line is enough (“thanks for your patience”). Three paragraphs of excuses devalue the work before price even comes up.

Renewing forever

Decide in advance how many attempts you will make. With no reply, keep a record, archive it and offer a fresh quote if the project restarts.

Steps

1. Acknowledge the expiry in one line

“The quote expired on [date]; I prepared the updated version.” No detours, no blame.

2. Update price and validity together

Adjust only for verifiable costs and set validity that matches them. A new price with the old validity leaves the same ambiguity.

3. Give a reason to decide now

Available schedule, current supplier prices or a start date. Real urgency moves; invented pressure scares off.

4. Send the renewed version as a new document

New folio or revision (R2), its own link, signature from the link. Never “the old one stands with a different price”.

How to do it in Quotive

In Quotive you duplicate the expired quote as a new version with updated prices and validity. Your client receives the renewed link while you keep the full history of everything sent before.

Frequently asked questions

Can I honor the expired price?

You can, but not by default. If your costs rose, honor it only as a one-off commercial gesture and put the new short validity in writing.

How long should I wait before reactivating?

Set a limited sequence based on the conversation. If there is no reply, close the loop and leave the option of issuing a fresh quote open.

Does the example tax rate apply to me?

No. Amounts are in USD with an illustrative tax included. Apply the rate for your state or country and confirm it with your accountant.
