Construction estimate example

Materials, labor and schedules are three frequent sources of disagreement in construction. This example makes them explicit.

Separate materials and labor while keeping the total clear.

Why separate materials and labor

In construction, material prices can change between the quote date and the purchase date. Separating materials from labor makes it clear which part of the price is more sensitive to change and helps prevent disputes if material costs rise.

Steps

1. List materials with quantities and units

Square meters, individual units or kilograms: make the unit of measurement explicit so the client understands how each item was calculated.

2. Quote labor separately

Separating labor from materials makes it easier to adjust the estimate if the client decides to supply materials themselves.

3. Include a price-variation clause

If the estimate has a short validity period, explain that material prices may change if purchases are delayed beyond that period.

4. Set the construction schedule and progress payments

Payments tied to progress—at the start, halfway through and on completion—are a common structure that reduces risk for both parties.

Construction estimate example

Estimate #P-2026-044 for “Garage extension”, client Rivas family. Amounts are in USD, with an illustrative 16% tax:

  • Materials: cement, sand and blocks (32 m²) — $980.00
  • Materials: galvanized sheet-metal roofing — $650.00
  • Labor (12 days, 2 masons) — $1,440.00
  • Subtotal: $3,070.00 · Example tax (16%): $491.20
  • Total: $3,561.20 USD · Valid for: 7 days · Material prices may change after expiry

How to do it in Quotive

In Quotive, you separate materials and labor into distinct line items, add terms such as price-variation notes and send the estimate through a link the client can approve and sign directly.

Frequently asked questions

How can I protect my estimate if material prices rise?

Set a short validity period, such as five to seven days, and explicitly state that material prices may change if purchases take place after that date.

Should I include a building permit if one is required?

If you handle the application, include it as a separate line item. If the client handles it directly, state that in the exclusions.

What payment structure is common in construction?

A deposit for initial materials, an interim payment around the halfway point and the balance on completion is a common arrangement.
